## 1. Information we collect
You give us directly:
- Name and surname
- Contact number (including WhatsApp number)
- Email address
- Service address and property details
- Details of the pest problem, service history, and any site-specific access notes
- Billing and payment details
We collect automatically when you use our website:
- IP address, browser type, device type, and operating system
- Pages visited, time on site, and referring page
- Cookie identifiers (see section 8)
We receive from others:
- Enquiries submitted through our Facebook page or Instagram
- Referrals from managing agents, landlords, or body corporates who arrange treatment on your behalf
We do not knowingly collect information from anyone under 18. Where a service is arranged for a household, we deal with the adult account holder.

## 2. WhatsApp communications
We use the WhatsApp Business Platform, provided by Meta Platforms Ireland Limited, to communicate with customers about pest control services.
What we process when you message us on WhatsApp:
- Your WhatsApp phone number and profile name
- The content of messages you send us, including photos of pest activity or property areas
- Delivery and read receipts, and the time messages were sent
- Any media, documents, or location pins you choose to share
What we use it for:
- Responding to service enquiries and quoting on work
- Confirming appointments and sending technician arrival notifications
- Sending service reports, invoices, and warranty or follow-up treatment reminders
- Answering questions about completed treatments
How we obtain your consent:
We message you on WhatsApp only where you have contacted us on WhatsApp first, provided your number when requesting a quote or booking a service, or otherwise agreed to be contacted this way. We do not sell, rent, or share WhatsApp numbers with third parties for their own marketing.
Marketing messages:
Where we send promotional or seasonal treatment reminders, we do so only with your consent. You can withdraw that consent at any time by replying STOP to any WhatsApp message, or by emailing info@bpcservices.co.za. Withdrawing marketing consent does not stop transactional messages about a service you have actually booked.
Meta's role:
Messages sent through WhatsApp are transmitted via Meta's infrastructure and are subject to Meta's own privacy terms, available at https://www.whatsapp.com/legal/business-data-transfer-addendum. This may involve the transfer of message data outside South Africa, including to the United States and Ireland. WhatsApp applies end-to-end encryption in transit; once a message reaches our business account it is stored on our systems and covered by this policy.
Please do not send us: ID numbers, banking credentials, medical information, or any other sensitive personal information over WhatsApp. If we need such information, we will ask for it through a secure channel.

## 3. Why we process your information
We process personal information to:
- Quote on, schedule, and carry out pest control services
- Issue invoices and process payments
- Maintain treatment records and comply with pest control record-keeping obligations under the Fertilizers, Farm Feeds, Agricultural Remedies and Stock Remedies Act 36 of 1947 and related regulations
- Provide warranty cover and arrange follow-up treatments
- Respond to enquiries and complaints
- Send service reminders and, with consent, marketing communications
- Comply with tax, accounting, and other legal obligations
Our lawful bases under POPIA are your consent, the performance of a contract with you, compliance with legal obligations, and our legitimate interests in operating and improving the business.

## 4. Who we share it with
We share personal information only where necessary, with:
- Meta Platforms Ireland Limited — for WhatsApp message delivery
- Wix.com Ltd — our website host and form provider
- Payment processors and our bank — to collect payment
- Our accountants and auditors — for financial and tax compliance
- Technicians and subcontractors — limited to what is needed to reach and treat your property
- Regulators, SARS, or law enforcement — where required by law
Some of these providers process information outside South Africa. Where that happens, we take reasonable steps to ensure the recipient is subject to laws or binding agreements offering comparable protection, as required by section 72 of POPIA.
We do not sell your personal information.

## 5. How long we keep it
- Service and treatment records: retained for the period required by pest control regulations and for at least 5 years after the last service, whichever is longer
- Invoices and financial records: 5 years, as required by tax legislation
- WhatsApp message history: 24 months from the date of the last message, unless it forms part of a service record
- Website analytics data: 26 months
- Marketing consent records: for as long as consent stands, plus 3 years after withdrawal so we can evidence the opt-out
We delete or de-identify information once these periods lapse and there is no ongoing legal reason to retain it.

## 6. Security
We apply reasonable technical and organisational measures to protect personal information, including access controls on our booking and messaging systems, restricting staff access to what their role requires, and encrypted transmission where available. No system is completely secure, but if a breach affects your personal information we will notify you and the Information Regulator as required by section 22 of POPIA.

## 7. Your rights
Under POPIA you have the right to:
- Ask what personal information we hold about you
- Ask us to correct or delete information that is inaccurate, irrelevant, excessive, out of date, or obtained unlawfully
- Object to processing based on legitimate interests
- Withdraw consent for marketing at any time
- Complain to the Information Regulator
To exercise any of these rights, contact our Information Officer at info@bpcservices.co.za. We will respond within a reasonable time and may ask you to verify your identity first. Requests for access may be subject to the prescribed fee under the Promotion of Access to Information Act.

## 8. Data deletion
You may request deletion of your personal information at any time.
To delete your WhatsApp data: send a WhatsApp message containing the word DELETE to +27 76 712 4860, or email info@bpcservices.co.za with "Data deletion request" in the subject line. Include the phone number or email address you used with us so we can locate your records.
We will confirm the request and delete your data within 30 days, except where we are legally required to retain treatment or financial records. Where that applies, we will tell you which records must be kept and for how long, and we will delete everything else.
